Checklist for organising a soccer tournament

Some of you may be involved in organising a girls’ soccer tournament in your local area.

 

There are a lot of things to do plan, so I thought I’d share a step-by-step guide to help you execute a successful event...

 

01 Define the purpose and objectives

• Purpose: Why are you organising this event? Is it to encourage more girls to participate, to raise funds for a cause, or to promote your club?
• Objectives: What do you hope to achieve? Define clear goals, such as the number of participants, the level of competition, or community involvement.

02 Secure a venue

• Location: Find a suitable venue such as a sports hall or local soccer field.
• Facilities: Ensure the venue has adequate facilities, including toilets.
• Permits: Obtain any necessary permits or permissions from local authorities

03 Set a date and time

• Schedule: Choose a date that avoids conflicts with other major events. Consider the availability of the venue and participants.
• Timing: Plan the event schedule, including registration, warm-ups, matches, and breaks.

04 Create a budget

• Expenses: List all potential costs, including venue hire, equipment, marketing materials, refreshments, and any giveaways.
• Funding: Identify sources of funding, such as sponsorship or grants.

05 Seek sponsorships and partnerships 

• Sponsors: Approach local businesses, organisations, and individuals who might be interested in sponsoring the event.
• Partnerships: Collaborate with schools, sports clubs and community organisations to increase reach and resources.

06 Promote the event

• Marketing: Create promotional materials such as flyers, posters and social media posts. Use platforms like Facebook, Instagram, community websites and word-of-mouth to spread the word.
• Registration: Set up an online registration system to make it easy for participants to sign up. Collect necessary details such as contact information, age, emergency contact details and dietary requirements.

07 Organise equipment and supplies

• Sports equipment: Ensure you have all necessary equipment like balls, bibs, and cones.
• First aid: Ensure you have a first-aid kit and emergency contact details for all participants.
• Miscellaneous supplies: Don’t forget items like gazebos to provide shelter and shade, tables, and chairs.

08 Co-ordinate your volunteers

• Recruitment: Find volunteers to help with tasks such as registration, set-up, officiating, and clean-up.
• Training: Provide clear instructions and training for volunteers to ensure smooth operations on the day of the event.

 

09 Plan the day-of-event logistics

• Set-up: Arrive early to set up the venue, including laying out of equipment, registration tables, and signage.
• Registration: Have a clear process for participant check-in.
• Event flow: Ensure the event runs smoothly, with a detailed timeline and clear communication among staff and volunteers.

10 Post-event activities

• Clean-up: Ensure the venue is left clean and in good condition.
• Feedback: Gather feedback from participants, parents, and volunteers to learn what went well and what could be improved.
• Thank you notes: Send these to sponsors, partners, volunteers, and participants.

11 Reflect and plan for the future

• Review: Analyse the event’s success against your initial objectives.
• Documentation: Keep detailed records and notes for future reference and improvement.
• Future plans: Start thinking about how to make the next event even better!
